GENERAL TERMS & CONDITIONS
The General Terms and Conditions apply to all agreements entered into with Arctic Marathon.

Here are the most important points:
Booking, payment & travel documents
An agreement is established after the booking procedure has been successfully completed and you have received confirmation of receipt of your payment from us. At Arctic Marathon, your booking is final after this.
Note: Arctic Marathon only sends the booking confirmation by email. You will therefore not receive this by post.
Make sure that your details that you entered during your booking are the same as in your passport (international travel pass).
If something is wrong, report it to Arctic Marathon as soon as possible.
Because we charter our own aircraft, you will not receive airline tickets. On the departure date your data will be on the passenger list and you must show your passport for identification at the check-in at Amsterdam Schiphol.
Changes after booking
If you want to make changes after the booking is final, Arctic Marathon will do its best to achieve this. However, we cannot guarantee anything. If necessary, Arctic Marathon will bill € 50 in change costs, as well as any additional costs that are charged to Arctic Marathon. We always let you know if and how much extra costs will be charged prior to implementing the change.
You are responsible for having the correct and valid travel documents. Arctic Marathon cannot be held liable if a trip cannot take place due to lack of possession of the correct documents. For Svalbard, you must be in possession of a valid travel document (passport). This must be valid up to and including the day of departure. No visa conditions apply.
Cancellation - Liability
Insureance - Guarantee - Complaints
If the trip has to be canceled, you must inform us in writing (by post or email). Arctic Marathon uses cancellation conditions for this.
The general cancellation conditions are as follows:
• If canceled before 1 November in the year prior to our trip: 50% of the travel sum is returned.
• If canceled between 1 November and before 31 December in the year prior to our trip: 30% of the travel sum is returned.
• If canceled from 1 January in the same year as our trip, no refund is possible.

Liability Arctic Marathon & travelers responsibility
Arctic Marathon is responsible for taking care of the different parts of the journey.
The liability of Arctic Marathon is in accordance with the law on the travel agreement.
Arctic Marathon does not offer cancellation or travel insurance as an option with the package. Each participant is fully responsible for taking out travel insurance that is sufficiently comprehensive for the journey that we offer. (Also note coverage for running a marathon. Not every cancellation insurance offers coverage in the event of an injury). Arctic Marathon strongly recommends that participants take out adequate insurance.
Arctic Marathon is legally obliged to offer its participants a guarantee fund. As a specialized travel organization we are a member of the Guarantee Fund Specialized Tour Operators (GGTO).
We pay the contribution from this guarantee fund. This means that you as a participant have no extra costs.
Arctic Marathon fully complies with the law on the travel agreement.
If you encounter problems during your trip with (a part of) the trip, such as accommodation or transport, you should first include this with the travel guide so that he can solve the problem. As a travel organizer we are with you as a participant during this trip and can be reached 24/7 on site. You will receive the contact details from us as a participant.
If a complaint has not been satisfactorily resolved, you must submit it in writing to Arctic Marathon within one month of your return.
Dutch law applies to all conditions.
